JOB DESCRIPTIONS
- To coordinate and schedule CEO’s appointment, meeting, etc.
- To manage CEO’s and all staff travel arrangements and make necessary booking arrangement (including flights/visas/accommodation).
- To answer, screen, and forward incoming phone calls. Informs visitors by answering or referring inquiries.
- To liaise with internal and external parties and ensure all arrangements are in order.
- To organize meetings and ensure that CEO is well prepared for meetings, preparing agendas, pre-meeting briefings, and meeting papers.
- To provide general administration duties.
- To undertake any and all other duties and responsibilities as so instructed by the superior.
- To serve visitors by greeting, welcoming, and directing them appropriately. Notifies company personnel of visitor arrival.
- To perform any other secretarial duties as and when assigned by superior from time to time i.e. refreshment, meeting arrangement, mutual extend parties, client and etc
- To supervise all incoming/outgoing mail. Receive, sort daily mail & coordinate with relevant person-in-charge.
- To prepare minutes of meetings.
- To handle and organize corporate events such as Company Annual Dinner, Company Trips and etc.
- To undertake any ad hoc assignment task given by CEO’s.
- To coordinate courier and dispatch pick-up from relevant courier/dispatch company.
- To assist in general admin support including meeting rooms management, refreshment order for meeting and catering order for events.
- To support for any site activities & celebration arrangement.
- To maintains safe and clean reception area by complying with procedures, rules, and regulations.
- To assist in any other admin work-related tasks when asked to.
JOB REQUIREMENTS
- Candidate must possess at least SPM/STPM/Diploma Business Studies/ Administration/ Management, Secretarial, or equivalent field.
- At least 1 Year(s) of working experience in the related field is required for this position.
- Experience in secretarial field is an advantage.
- Good command in spoken and written English and Bahasa Malaysia.
- Good interpersonal and communication skills.
- Computer literate with good typing skills.
- Can multitasking and ability to keep all info confidential.
