Job Description:

  1. Schedules and organizes complex calendar activities such as meetings, arrangements, travel plans and department activities.
  2. Handle calendar management and associated tasks, booking meeting rooms, preparing documentation and scheduling meetings.
  3. Exhibits polite and professional communication via phone, e-mail, and mail.
  4. Supports team by performing tasks related to organization and strong communication.
  5. Prepare, type and distribute correspondence, reports, presentation slides and other administrative work including minutes of meeting.
  6. Keep records of all information related to project for documentation, clarification, and presentation.
  7. To prepare and compile bid submission documents concerning tendering/bidding activities, tender questionnaires and pre-qualifications.
  8. To vet through incoming tenders and to note down tender due date, project start and end date, tender submission instructions/requirement and mode of submission.
  9. To prepare and ensure that tender submission due dates are strictly adhered to, including the checking, binding, packing and preparation of outgoing submissions.
  10. To ensure that tender submissions are standardized in terms of format, font, logo, etc. and in line with customer’s tender requirements.

Requirements

  1. Excellent skills with Microsoft Word Office, Excel, PowerPoint, Outlook etc.
  2. Ability to pay attention to detail.
  3. Good communication skills.
  4. Ability to solve problems.
  5. Ability to manage time effectively.
  6. Must have basic knowledge of computer.
  7. Possess experience in IT project management or administrative management.
